Group Booking Information With Berkshire East Mountain Resort

Planning an adventure for your next business meeting, family get together, birthday, wedding, or class reunion? Are you a non-profit group planning a field trip for your school, summer camp, recreation program, scout troop or youth group? We will be happy to assist you in planning a zip-lining trip to make your group’s next adventure a fun and memorable experience. Groups must call us at 413-339-6617 to check for availability and make a reservation.

Group Organizer:

Your group should designate one person as their organizer to assure your trip runs smoothly. The organizer is our primary contact person, and is responsible for scheduling and booking the reservation and making payment. They will assure that all participants meet the tour’s age and weight requirements and that all participants have been made aware of our policies. The organizer must disseminate and collect signed waivers to streamline the check-in process on the day of your trip. When applicable, they must also assign adult chaperones and provide us with a participant roster. Non-profit organizations comprised of youths or participants in need of adult supervision are allowed one free adult chaperone for every 10 paying participants, (not applicable for private groups). Participant rosters are helpful for checking in larger groups and should clearly identify adult chaperones.

Payment Options:

In order to get discounted group rates, full payment must be made by the organizer when the reservation is set-up. We do not extend group rates for parties wanting their individual participants to pay separately. Please note that special payment arrangements are available for certain non-profit organizations that require an invoice and need time to acquire a check from their organization. In these instances, we do require a deposit at the time the reservation is made. The group’s final numbers and check must be received by us at least 5 days in advance of your tour.

Logistics:

Groups should plan to arrive at least 30 minutes in advance of your tour time, (45 minutes for large groups). Any personal items not being taken on the tour should be left at home or in your vehicle. The group organizer must check in at the Customer Service desk in the Main Lodge upon arrival. The organizer will assist us in verifying that all participants are here and that the waivers have been fully completed and signed. Once check-in is complete the group will be directed to their designated tour station(s). Participants will then meet their tour guides, review our safety directives, and get geared up. Often times large groups are split into smaller groups of 10 – 12 participants and tours are sent out staggered every 15 minutes. If applicable, a chaperone should be assigned to each smaller group to assist our guides with supervision. The length of time a group can spend on-site the day of their tour varies depending on the number of participants, which tour(s) were booked, the weather, and if they have opted to have lunch here.

Amenities:

Our main lodge offers seating, restrooms, and free Wi-Fi. We have a gift shop which sells snacks & drinks, apparel, bug repellent, sunscreen, and souvenirs. We offer special lunch options for groups at a cost of $8.00 per person. Group lunches must be pre-arranged and paid for in advance of your trip. Your group can choose from either a BBQ option or cold lunch option. BBQ includes the participant’s choice of either a hot dog, hamburger, or veggie burger. Cold lunch option includes the participant’s choice of a sandwich (ham, turkey, or veggie). Group lunches include chips, a drink, and ice cream. We also have a cafe on-site which offers a limited menu and is open during our peak zip season.

Tipping:

If you plan to tip your guides, this cannot be included in your reservation payment or your organization’s check. A suggested gratuity for guides is $2.00 – $3.00 per participant. We have an ATM on-site if you need to withdraw cash for tipping purposes. We are not equipped to give cash back on credit card transactions.
